1. Who we are

EM Accelerator is operated by Ryan Murphy Ltd ("we", "us", "our"), a limited company registered in England and Wales. We are the data controller for the personal information we collect about you. If you have any questions about this policy or how we handle your data, you can contact us at ryan@emaccelerator.com.

2. What this policy covers

This policy explains what personal information we collect, why we collect it, how we use it, who we share it with, how long we keep it, and what rights you have.

It applies across everything we run:

emaccelerator.com, our public website, including the newsletter, the free quizzes and simulators, and the contact, coaching, and workshops enquiry forms.
members.emaccelerator.com, the members area we call Practice & Tools, which holds the AI Manager Simulator, the Q&A library, and your saved quiz history.
Courses & Community, the course and community platform where your membership is delivered and payment is taken.

3. What information we collect

We collect the following categories of personal information:

Contact information: your name and email address when you sign up for the newsletter, register interest in a live workshop, complete one of our free quizzes or simulators, send us an enquiry via the contact, coaching, or workshops forms, or buy a membership.
Enquiry details: any additional information you choose to include in a coaching or workshops enquiry, such as your company, role, team size, goals, or message.
Free quiz and simulator results: if you complete one of the free tools on our website, we record the result (for example your manager archetype, or your simulator outcome) alongside your name and email.
Account information: when you buy a membership, Courses & Community creates an account with your name, email address, and a password set by you. Practice & Tools does not use a password at all: you sign in with a one-time link sent to your email address, and we hold your name, email address, and membership status.
Payment information: payment is processed by our payment provider. We do not collect or store your full card details. We receive a record of the transaction including the amount, date, and last few digits of the card.
Course activity: when you use the courses, the platform records your progress, quiz responses, and completion status.
Practice & Tools activity: we record when you sign in and which days you are active, your saved quiz results (including the answers behind them), and how much of a Q&A video you have watched.
AI Manager Simulator conversations: everything you type into the simulator, the AI's replies, and the debrief you receive at the end. Section 6 explains this in detail.
Communications: if you email us, we keep a record of that correspondence.
Website usage: analytics about how visitors use our sites, including pages viewed, referrer, device and browser, and approximate location based on IP address.

4. Why we collect it and our lawful basis

Under UK GDPR we need a lawful basis to process your personal information. The bases we rely on are:

Contract: to deliver the membership you have bought, manage your access to Courses & Community and Practice & Tools, run the AI Manager Simulator for you, and provide support.
Consent: to send you marketing emails after you have opted in via the newsletter, a free quiz or simulator, or a workshop registration. You can withdraw this consent at any time using the unsubscribe link in any email.
Legitimate interests: to operate and improve the sites, understand which parts of the membership are used, keep the AI Manager Simulator running within its cost limits, prevent fraud and account sharing, and respond to questions you send us.
Legal obligation: to keep records required for tax, accounting, and consumer protection purposes.

5. Tools and services we use

We use the following third-party services to run the business. Each acts as a data processor on our behalf, and each has its own privacy policy:

Thinkific (Courses & Community hosting and payments): stores your account, course progress, community posts, and processes payments via Stripe.
Stripe (payment processing): processes card payments securely on our behalf.
MailerLite (email marketing): stores email subscribers and sends our newsletter and membership communications.
Zapier (automation): moves data between systems, for example adding new customers to MailerLite when they buy a membership.
Netlify (website hosting and forms): hosts both emaccelerator.com and members.emaccelerator.com, and may collect basic technical data such as IP addresses for security and performance. Netlify also receives and stores submissions from our contact, coaching, and workshops enquiry forms.
Supabase (members database and sign-in): stores your Practice & Tools record, which includes your name, email address, membership status, sign-in history, saved quiz results, video viewing records, and your AI Manager Simulator conversations. Supabase also handles the one-time sign-in links.
Anthropic (the AI behind the AI Manager Simulator): receives the conversation you have with the simulator in order to generate its replies and your debrief. See section 6.
Resend (transactional email): delivers your one-time sign-in links for Practice & Tools.
Mux (video hosting for the Q&A library): streams the videos and records playback information. Mux receives your internal member reference, along with technical data such as IP address, device, and how much of a video you watched. Your name and email address are never sent to Mux.
Vidalytics (video hosting): hosts the main video on our homepage and records playback information about viewers.
YouTube (video embeds): some pages embed YouTube videos. These only load, and YouTube only receives your data, once you click to play.
TidyCal (call booking): if you book a call with us, TidyCal collects the details you provide on its booking page.
Google Workspace (email): hosts our business email when you contact us.
Google Tag Manager and Google Analytics (website analytics): Tag Manager loads our analytics tags on emaccelerator.com, which feed Google Analytics. Between them they collect pages viewed, referrer, device and browser, and approximate location based on IP address.
Plausible Analytics (website analytics): collects privacy-friendly, aggregated analytics about site usage. Plausible does not use cookies and does not collect personal data.
Google Fonts (typefaces): pages in the members area request fonts from Google's servers when they load, which means Google receives your IP address and browser details. Our public website does not do this, as it serves its fonts itself.

We may change or add to this list as the business evolves. The current list reflects the tools in use as of the effective date of this policy.

6. The AI Manager Simulator

The AI Manager Simulator lets you practise a difficult management conversation against a character played by an AI, and then gives you a debrief. Because it is a genuinely different kind of feature, we want to be explicit about how it handles what you type.

What is sent to the AI: when you send a message, that message and the conversation so far are sent to Anthropic's API, which generates the character's reply. When you finish, the full conversation is sent once more so the AI can write your debrief.
What is not sent: we do not send your name, your email address, or any identifier that tells Anthropic who you are. Anthropic sees the conversation, not the person having it.
Training: we use Anthropic's commercial API. Under Anthropic's terms, your conversations are not used to train their models. Anthropic retains data for a limited period under its own policies, which includes briefly caching parts of the conversation to make the simulator faster and cheaper to run.
What we store: we store the full conversation, the debrief, and the verdict in our own database, so that you can revisit past attempts. We also log the technical cost of each attempt (token counts and an estimated price) so we can keep the feature within budget. That cost log contains no conversation content.
Who can see it: your conversations are private to you within the members area. Ryan can access them through our admin tools, and does so to improve the scenarios and to investigate problems.
Please keep it non-identifying: the simulator is a practice space, so treat it like one. Please do not type real names, contact details, or confidential information about colleagues, your employer, or anyone else. Describe the situation, not the person's identity.
Deleting it: you can ask us to delete your simulator conversations at any time, without leaving the membership. See section 9.

7. International transfers

Some of the services above are based outside the UK and EU, primarily in the United States. Where data is transferred outside the UK or EU, we rely on standard contractual clauses, adequacy decisions, or other lawful transfer mechanisms put in place by those providers.

8. How long we keep your data

We keep your information only as long as we need to:

Newsletter subscribers and free quiz or simulator leads: until you unsubscribe, after which your details are removed from active marketing lists within 30 days.
Membership records: for as long as you are a member, plus a further period required for accounting and tax purposes (typically six years under UK law).
Practice & Tools data (simulator conversations, saved quiz results, sign-in and viewing records): for as long as you are a member, and for a reasonable period afterwards. We do not delete this automatically when a membership lapses, so that your history is still there if you rejoin. You can ask us to delete it at any point, including while you are still a member.
Cost and usage logs for the AI Manager Simulator: retained for our own accounting. If we delete your account, these are kept in a form that is no longer linked to you.
Email correspondence: for up to two years after the last interaction unless we need to keep it longer for a specific reason.
Website analytics: typically aggregated and retained for up to 26 months.

9. Your rights

Under UK GDPR you have the following rights in relation to your personal information:

The right to be informed about how we use your data (this policy).
The right of access: you can ask us for a copy of the information we hold about you.
The right to rectification: you can ask us to correct information that is inaccurate.
The right to erasure: you can ask us to delete your information in certain circumstances.
The right to restrict processing: you can ask us to limit how we use your information.
The right to data portability: you can ask us to provide your information in a portable format.
The right to object to processing based on legitimate interests.
The right to withdraw consent at any time where we rely on consent.

To exercise any of these rights, email ryan@emaccelerator.com. We will respond within one month.

A note on deletion, so you know what to expect. We handle deletion requests by hand rather than through a button in the app. You can ask us to delete a specific part of your data, such as your AI Manager Simulator conversations, and keep your membership. You can also ask us to delete your Practice & Tools record entirely, which removes your simulator conversations, saved quiz results, and activity history with it. Some records we have to keep: proof of purchase and the financial records behind it are retained for tax purposes, and our cost logs are kept in a form no longer linked to you.

10. Complaints

If you are unhappy with how we have handled your personal information, please contact us first so we have a chance to fix it. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk or 0303 123 1113.

11. Cookies

emaccelerator.com. Our public website loads Google Tag Manager and Google Analytics on every page, and these set analytics cookies that recognise returning visitors and measure how the site is used. We do not currently show a cookie banner on this site. If you would rather not be measured this way, you can block or clear cookies in your browser settings, or use your browser's Do Not Track or tracking-protection features. Our other analytics tool, Plausible, sets no cookies at all.

members.emaccelerator.com. The members area sets only the cookies it needs to work. One keeps you signed in after you use your one-time link, and lasts until you sign out. Another is a short-lived cookie that records that you have already been seen today, so we do not write the same record repeatedly. There are no advertising or tracking cookies in the members area. The video player in the Q&A library sets its own storage in order to measure playback.

Courses & Community. The course platform uses its own cookies to keep you logged in and track your progress.

12. Changes to this policy

We may update this policy from time to time. The most recent version will always be available at emaccelerator.com. Where changes are material we will notify customers by email.
